Workshop Privacy Notice (GDPR)

This notice explains how we process personal data when you register for workshops, webinars, talks, or events.

1) Who is responsible for your data (data controller)

Workshops organised by Camilo Henriquez / Camilo’s Therapy are controlled by:

2) Co-hosted workshops (important)

Some workshops are co-hosted with external collaborators (for example language teachers). In those cases, the co-host will be named in the registration form and may be a joint data controller for the registration data.

If a workshop is co-hosted:

  • the registration form will state who the controllers are for that specific event, and
  • we may share participant details with the co-host only as needed to run the event (for example attendance management and practical communication).

If you opt in to receive updates from a co-host, your email will be used by that co-host for that purpose only.

3) What data we collect

Depending on the event, we may collect:

  • Name
  • Email address
  • Workshop-relevant questions (for example language level, goals, preferences, or feedback)
  • Technical information automatically provided by the platform (for example timestamps)

We aim to collect only what is necessary for the event.

4) Why we collect it (purposes)

We process your data to:

  • register you for the event
  • send practical information (for example access link, calendar invite, reminders, changes)
  • manage attendance and participation
  • tailor the session to the group’s needs (for example level or topics)
  • respond to questions you send us

Marketing is always optional and only happens if you actively opt in.

5) Legal basis

We process registration data based on:

  • GDPR Art. 6(1)(b), necessary to take steps at your request and provide the event (registration and communication), and
  • GDPR Art. 6(1)(f), legitimate interests, for basic event administration and tailoring content to the group, where this is appropriate.

If we send marketing emails, we rely on your consent, and you can withdraw it at any time (unsubscribe).

6) Where your data is stored and who receives it

We typically use:

  • Google Forms / Google Workspace to collect registrations and store responses
  • Email services to send practical information

Access is restricted to the organiser(s) and, for co-hosted events, the named co-host when needed to deliver the event.

We do not sell your data.

7) International transfers

Some providers (such as Google) may process data outside the EU/EEA. Where applicable, such transfers are protected using the relevant legal safeguards (for example Standard Contractual Clauses) provided by the supplier.

8) How long we keep your data (retention)

Unless the registration form for a specific event states otherwise, we keep workshop registration data for up to 6 weeks after the event, then delete it.

If you opted in to receive updates, we may keep your email on a separate mailing list until you unsubscribe. We may keep a minimal record of unsubscribes to make sure we respect your choice.

9) Your rights

You can request:

  • access to your data
  • correction of inaccurate data
  • deletion (where applicable)
  • restriction of processing
  • objection to processing (where applicable)
  • data portability (where applicable)
